What Do Pharma Recruitment Consultants Do?

Pharma recruitment consultants source and screen staff for pharmaceutical employers, and the defining feature of the work is that qualification is regulated rather than subjective.

In most sectors you assess a candidate on experience and judgement. In pharma, a QA head’s value is partly determined by which regulator they have been audited under. Someone who has run a USFDA inspection is not interchangeable with someone who has only faced state licensing, even where the job titles match. The same applies to EU GMP, WHO-GMP, MHRA and ANVISA.

That single fact determines most of what a shortlist is worth, and it is the thing generalist recruiters consistently miss.

India’s position matters too. The country supplies a large share of the world’s generic medicines, which means Indian pharma employers are hiring against export-market regulatory standards, not just domestic ones. Candidates with the right audit exposure are scarce and know it.

Alliance places permanent employees only. We do not supply locum pharmacists, temporary cover or contract staffing.

For clinical and hospital hiring, see our healthcare recruitment practice.

How We Recruit in Pharma

Most consultancies screen pharma roles on years of experience and job title, which is why QA and regulatory shortlists so often fail at second interview. We scope the regulatory environment first: which agencies have audited your site, which markets you supply, and which approvals the hire must have worked under. It takes one extra question at the brief and removes most of the rejections that follow.

Pharma Recruitment Costs and Timelines

What It Costs:

Our fee is a percentage of the hire’s first-year salary, agreed before the search begins and payable when they join. No retainer for standard permanent placements. Senior regulatory and plant leadership roles sit at the higher end, because the qualified pool is genuinely small and the search runs longer.

How Long It Takes:

Mid-level QA, QC, and production roles: shortlist in 10 to 15 working days, offer typically within 4 to 6 weeks, then notice. Senior regulatory and plant head roles commonly take 8 to 12 weeks to shortlist, because the number of candidates with the right audit exposure is small.

What Our Pharma Recruitment Service Includes

Regulatory Exposure Scoped Before We Source

Regulatory Exposure Scoped Before We Source

We establish which regulators have audited your site and which markets you supply, then screen candidates against that specific environment rather than against a generic pharma background.

Quality Assurance and Quality Control

Quality Assurance and Quality Control

QA heads, QC managers, analysts and microbiologists, screened on audit history and the specific pharmacopoeias they have worked to.

Regulatory Affairs and Compliance

Regulatory Affairs and Compliance

Dossier preparation, submissions and post-approval work for the markets you export to. The smallest candidate pool in pharma and the one where a mis-hire costs most.

Production, Formulation and Plant Leadership

Production, Formulation and Plant Leadership

Plant heads, production managers, formulation scientists and process engineers across oral solids, injectables, API and speciality manufacturing.

R&D, Analytical and Commercial

R&D, Analytical and Commercial

Research, analytical development, business development, exports and pharmaceutical sales leadership.

Permanent Placements Only

Permanent Placements Only

Every hire joins your payroll as a permanent employee. We do not supply locum pharmacists, temporary cover, contract staff or project-duration workers.

Our Pharma Recruitment Process

Step 1: Role and Regulatory Scoping Call (45 minutes, within 2 working days)

Step 1: Role and Regulatory Scoping Call (45 minutes, within 2 working days)

We establish the role, the function, the site, the salary band, and critically which regulators have audited you and which export markets you supply. That answer narrows the candidate pool more than seniority does.

Step 2: Market and Supply Assessment (3 to 5 working days)

Step 2: Market and Supply Assessment (3 to 5 working days)

We tell you how many candidates with the right regulatory exposure realistically exist at your band, and where relaxing one requirement would open the pool.

Step 3: Sourcing and Screening (10 to 15 working days, longer for regulatory roles)

Step 3: Sourcing and Screening (10 to 15 working days, longer for regulatory roles)

Direct approach across the relevant manufacturing clusters. Screening on audit history, product form experience and documented regulatory exposure, plus qualification and reference verification. Three to five candidates with assessment notes.

Step 4: Interviews and Technical Assessment (client-led, typically 1 to 2 weeks)

Step 4: Interviews and Technical Assessment (client-led, typically 1 to 2 weeks)

We coordinate scheduling, including site visits where the role requires the candidate to see the plant before deciding.

Step 5: Offer, Notice and Start (4 to 12 weeks)

Step 5: Offer, Notice and Start (4 to 12 weeks)

We manage the offer and stay engaged through notice. Pharma notice periods run long at senior level and counter-offers are common, so this phase is actively managed rather than handed over.

Step 6: Onboarding, Documentation and Guarantee Period (first 90 days)

Step 6: Onboarding, Documentation and Guarantee Period (first 90 days)

A pharma hire is not complete on the start date. Qualification verification, training records and role-specific SOP sign-off all follow, and a regulated site cannot carry a gap in any of them. We track completion, check in at 30, 60 and 90 days, and if the placement does not hold within the guarantee period we re-run the search at no additional fee.

Who We Recruit For in Pharma

Your QA or Regulatory Shortlists Keep Failing at Second Interview

Your QA or Regulatory Shortlists Keep Failing at Second Interview

Almost always a regulatory mismatch. The candidate is technically sound but has never worked under the agency that audits you.

You Are Preparing for a USFDA or EU Inspection

You Are Preparing for a USFDA or EU Inspection

You need someone who has been through one, and the number of people who have is smaller than the number who claim to have.

You Are Commissioning a New Line or Facility

You Are Commissioning a New Line or Facility

Multiple technical hires against a validation timeline, where a delayed hire delays qualification.

Your Site Is in Baddi, Sikkim or a Remote Excise Zone

Your Site Is in Baddi, Sikkim or a Remote Excise Zone

The candidates exist. Persuading them to relocate is the actual search, and most consultancies will not tell you that upfront.

You Need Someone With Specific Product Form Experience

You Need Someone With Specific Product Form Experience

Injectables is not oral solids. Screening that properly requires knowing the difference.

You Are Hiring Commercial Leadership for Export Markets

You Are Hiring Commercial Leadership for Export Markets

Business development and export roles where market-specific regulatory knowledge sits alongside the commercial skill.

The Alliance Advantage in Pharma Recruitment

Regulatory Exposure Scoped Before Sourcing:
We establish which agencies have audited you before approaching anyone, rather than discovering the mismatch at second interview.
Depth Across India’s Manufacturing Clusters:
Hyderabad, Ahmedabad, Mumbai, Baddi and the Gujarat belt are markets we recruit in directly. India is where the majority of our pharma placements sit.
Product Form and Dosage Specificity:
Oral solids, injectables, API and biologics are different candidate markets. We scope which applies before we source.
16+ Years and 15,000+ Placements Across 36+ Countries:
Where an Indian site needs a candidate from elsewhere, or an overseas employer wants Indian pharma talent, the cross-border infrastructure already exists.
Relocation Reality for Remote Sites:
For Baddi, Sikkim and similar locations we tell you what relocation actually requires before the search rather than after three failed offers.
We Say When the Pool Is Too Small:
Some regulatory roles have a national candidate pool in the dozens. Hearing that in week one is worth more than a search that quietly runs for six months.

Why Choose Alliance Recruitment Agency as Your Pharma Recruitment Consultants

Pharmaceutical hiring has a constraint that does not exist in most sectors: the regulator decides who is qualified, not the employer. A QA manager who has personally handled a USFDA Form 483 response is in a different category from one who has read about it, and the difference only becomes visible when your next inspection arrives. No CV distinguishes between them reliably, and no generalist recruiter asks.

That is where our process differs, and it is a question rather than a capability. Which agencies have audited your site, which markets do you supply, and what has this candidate personally been responsible for during an inspection? Three questions, asked before we source. They shrink the shortlist, and they are the reason our shortlists convert to offers rather than to second rounds of searching.

Yes, and we will be honest about the timeline. Candidates who have personally handled inspections are scarce, and a rushed hire in that category is usually worse than a temporary internal arrangement.

Yes, through a separate practice, because the candidate market differs substantially from small-molecule pharma.

We recruit internationally, and we also place Indian pharma professionals with employers abroad. For UK and European domestic hiring, local specialists are generally stronger.
